Litigation Paralegal

General Summary: Support attorneys in the preparation and prosecution of litigation cases. Assist with pleadings, discovery, motions and trial practice. Work cohesively with team members and attorneys to provide efficient support of administrative tasks and superior client service.
Responsibilities:
- Create and maintain case profiles, judicial profiles, court forms, litigation support services, and Federal, State, and local rules.
- Case management, including organizing all documents and files.

Sr. Business Development Coordinator/Events & Sponsorships

General Summary: The Events and Sponsorship Senior Coordinator will report to the Director of Business Development and is responsible for responsible for collaborating with lawyers and the firm’s Marketing & Business Development team on leveraging firm-hosted and sponsored events for business development (BD) and client relations’ opportunities.
This role is responsible for managing logistics for community and client-facing events including seminars, conferences, webinars, and client entertainment, while actively contributing to and supporting strategic marketing & business development goals for each event. This position will also coordinate firm sponsorships and manage special projects / internal events as assigned as well as other initiatives to support the Firm’s growth.
Responsibilities:
Events
- Support event activities for brand and industry events including pre-planning and onsite support.
- Create budget for events and report on success.
- In collaboration with the Director of Business and Practice Development, drive all event strategies through creation and ownership of all event program of events, project plans and agendas.
- Order/process gifts and ad specialty items for events.
- Creation and management of hotel and AV specs.
- Management of Food and Beverage selection while adhering to negotiated budget allotment.
- Coordinate signage plan for events, managing orders with vendor.
- Support the coordination of ordering and shipments of assets, promotional items and collateral needed for events.
- Manage sponsors and communicate timelines for event sponsors.

Intellectual Property Assistant

General Summary: Support patent attorney(s) and/or patent scientist(s) in the preparation of intellectual property related documents. Lend support for client portfolio management. Work cohesively with team members and attorneys to ensure efficient support of time billers, administrative tasks, and client service.
Responsibilities:
- Assist with the preparation and filing of patent related documents with the USPTO. Ensure legal documents are processed in a timely and efficient manner complying with the firm’s quality control requirements, client guidelines, and USPTO regulations and deadlines.
- Monitor filing deadlines noted on docket reports for all US and foreign patent, trademark, and copyright applications; assist with review/clearance of docket dates and communicate details to Docketing department.

- Run conflict checks to ensure that files are generated; follow up to ensure files are opened timely and maintained accurately.
- Perform research as requested using Private PAIR, TARR, eSpace, WIPO and other reference sources.
- Assist with coordination of incoming and outgoing file transfers.
- Interact effectively with Accounting, Docketing, Litigation, International Patent, Trademark and other departments as required in support of attorney and/or scientist workload requirements.
- Provide administrative support such as expense report reconciliation utilizing Chrome River, screen calls and assist callers, schedule couriers and notarial services, and coordinate drafting and word processing as needed.
- Maintain attorney appointment and due date calendars ensuring that all dates are met, coordinate schedules, organize meetings, and handle travel arrangements as directed.
- Provide coverage for IP Assistants as requested; conduct and participate in training as necessary.
- Delegate tasks to clerks and monitor their work product and deadlines.
- Complete other duties as assigned by IP Assistant Supervisor, attorneys and scientists, or Administration.
Qualifications:
- Prior legal support experience is highly desirable, particularly in intellectual property.
- Previous experience with iManage, private PAIR, EFS web and CPI Docketing preferred.
- Effective writing skills; excellent proofreading, spelling, grammar, and punctuation.
- Must be efficient, accurate, flexible, timely, organized and have excellent attention to detail.
- Excellent computer skills; proficient in Microsoft Office Suite.
- Excellent verbal communication skills.
- Able to thrive in a fast-paced, dynamic environment.
- Team player and a positive attitude is a must.
- Must meet minimum testing requirements.
- Able to lift and carry up to 15 pounds.
Base salary for this position is $55,000 - $110,000 annually, depending on qualifications and experience.

Assistant Director of Finance

Excellent opportunity for an experienced finance and accounting professional who will collaborate with the Chief Financial Officer in all financial aspects of the Firm. This role serves as an advisor to the Managing Partner, Chief Financial Officer, other members of administration and management committees in establishing, measuring, and communicating the Firm's financial goals and financial position, as well as implementing best practice financial policies and procedures. The Firm expects a strategic leader who exercises a high level of professionalism and discretion while ensuring excellent client service and satisfaction in all areas.
Using sound judgment and strategic leadership, this position will assist with running the financial operations of the Firm, which will be accomplished in part through the following key areas:
Finance
Financial reporting and analysis, periodic forecasting, client value & pricing, tax filings, audits, and financial reviews.
Direct the preparation of the annual budget.
Responsible for treasury and cash flow management.
Responsible for financial aspects of contracts and agreements on behalf of the Firm and third parties.
Develop financial systems to ensure accurate oversight, reporting, and compliance.
Coordinate credit agreement financial covenants reporting and compliance.
Collaborate with Director of HR on management of 401(k) and cash balance pension plans.
Maintain relationships with bankers, tax accountants, auditors, third party administrators and other key vendors.
Operations
Lead implementation of continued enhancements to the Firm’s technology to improve efficiency and reliability.
Participate in the annual partner evaluation process and operation of the Firm by preparing reports, providing financial and performance statistics, and supporting committee information needs.
Leadership
Participate in strategic financial planning and management committee support.
Maintain continuous lines of communication and keep abreast of crucial business issues.
Prepare and communicate critical financial matters.
Coordinate the development of the agendas and assist in preparing meeting topic presentations for monthly partner meetings, annual business retreat, and other committee meetings.
- Bachelor’s degree in Accounting and/or Finance is required.
- CPA background is highly preferred.
- 10 to 15 years of experience with a law firm or other professional services firm.
- Successful candidates must have demonstrated experience with partnership structures and tax principles, forecasting, cash flow management, and budgeting.
- Ability to work under pressure and meet deadlines, as well as be flexible.
- Prior management and supervisory experience are essential.
- Strong business sense and strong financial analysis skills with ability to explain financial specifics and concepts in a business context.
- Ability to communicate effectively and tactfully with individuals at all levels within and outside the Firm, be comfortable working with strong personalities, as well as make effective presentations.
- Advanced proficiency in Excel, PowerPoint, and data visualization tools.
- Knowledge of SQL database reporting to effectively communicate project requirements with financial reporting team.
Base salary for this position is $190,000 to $220,000 annually, depending on qualifications and experience.
